The Marketing Events Specialist owns RazorMetrics’s event and trade-show program from start to finish: planning the annual show calendar, running logistics, travel, shipping and swag, equipping the sales team on event day, and making sure every lead captured at a show reaches HubSpot cleanly and is followed up. The role works daily with the sales and marketing teams.

Reports to: Chief Marketing Officer. FLSA status: Exempt. This role does not have supervisory responsibilities.

What you’ll do

  • Plan the following year’s show calendar and track every show, deadline and deliverable in Asana.
  • Manage each show end to end, including registration, booth and space, exhibitor deadlines, vendors and on-site setup.
  • Run trade-show campaigns before, during and after each event, working with the digital team on outreach.
  • Find and pursue speaking opportunities for RazorMetrics leaders.
  • Book and manage team travel for events where applicable.
  • Ship booth materials and other items, track every shipment, and follow up until it arrives and returns.
  • Order, stock and keep inventory of swag, and ship swag to colleagues and clients as needed.
  • Coordinate holiday gifts for clients and partners.
  • Manage event vendors and track spend against each event budget.
  • Brief and train the sales team before each show on goals, messaging, lead capture and booth expectations, and make sure the team has everything it needs on event day.
  • Track every lead from every event; clean and review event lead data before it enters the CRM.
  • Log leads correctly in HubSpot and tie them to the right event.
  • Check that sales follows up on event leads, and report on follow-up status.
  • Post on social media before, during and after events, and turn photos collected from the sales team into social posts.
  • Coordinate across the marketing team so events line up with campaigns, content and digital work.
  • Stretch goal: take on broader marketing project management.
  • Stretch goal: contribute to an AI project (scope to be defined).
  • Other duties may be assigned.

What you bring

  • Bachelor’s degree in marketing, communications or a related field, or equivalent experience.
  • 1 to 3 years of experience coordinating events, trade shows or marketing programs, ideally B2B.
  • Experience managing several events at once, each with its own deadlines, vendors and shipments.
  • Strong attention to detail and follow-through: shipments, registrations and leads tracked until they close.
  • Experience managing vendors and tracking spend against an event budget.
  • Clear, professional written communication with internal teams, vendors and event organizers.
  • Comfortable working in a CRM and a project-management tool (HubSpot and Asana).
  • Calm and resourceful on site when something goes wrong.
  • Ability to travel to events, approximately 20-30% of the time, including occasional overnight and weekend trips. Travel is heaviest during conference season and includes booth setup, staffing and teardown on site.

Nice to have

  • Experience in healthcare, health insurance, pharmacy benefits or health tech, especially B2B.
  • Familiarity with the conference circuit for health plans, PBMs, brokers or employer benefits.
  • Hands-on HubSpot experience: importing event leads, list hygiene and tracking follow-up.
  • Experience pursuing speaking slots and managing sponsorship deliverables with industry associations.
  • Experience building event playbooks or repeatable checklists.
  • Social media skills for live event coverage.
  • Uses AI tools in day-to-day work.
  • Project-management experience beyond events; a CMP or PMP certification is a bonus, not a requirement.

How we’ll measure success
